Administrative Assistant

WHO WE’RE LOOKING FOR:
  We are looking for an Administrative Assistant who will work directly with the administrative and production department on daily tasks, as well as special projects. An ideal candidate for this position will be highly organized and able to provide top customer service in a fast-paced environment, with the ability to efficiently transition between multiple tasks without letting things fall through the cracks. Individuals who thrive in learning new skills and effectively juggling multiple tasks are encouraged to apply.

JOB RESPONSIBILITIES:
  • Accounting duties - AR, AP, Invoicing, PO's, Collections and Payroll.
  • HR support.
  • Handle and coordinate active calendars, schedule, and confirm meetings.
  • Plan events, routes, and organize travel.
  • Provide ad hoc support around office as needed.
  • Research, data entry and data management.
  • Record minutes, draft letters, memos.
  • Proof letters and perform grammar checks.
  • Field phone calls and direct caller to appropriate contacts in the office. Record detailed messages if the desired individual is not available or direct them to another person that can assist them.
  • Add phone call and/or meeting notes into the Comm Log when needed.
  • Keep track of office inventory and place orders for supplies when needed. Complete returns when necessary.
  • Handle all shipments and receiving, including collecting and sorting mail. Create shipping labels, package material, and drop-off at appropriate mailing location.
  • Maintain the organization of office public spaces including the storage room, supply closet, cleaning locker, kitchen, and print stations.
  • General office duties: sending faxes, filing, processing receipts, greeting office visitors, etc.
  • Candidate will work closely with the production department to execute timely delivery of projects.
  REQUIREMENTS AND QUALIFICATIONS:
  • Bachelor's degree or equivalent experience.
  • Exceptional verbal and written communication skills to effectively interact with all levels of management, staff, clients, and departments.
  • Ability to prioritize and multi-task in a fast-paced environment with minimal supervision.
  • Ability to swiftly respond to multiple demanding situations and switch gears quickly.
  • Outstanding interpersonal and organizational skills, with a strong attention to detail.
  • Proficient in Microsoft Office suite.
  • Adapts quickly to new technology.
  • Ability to commute to the office location.

Job Type: Full-time

Schedule: 40 hours per week

Compensation Range: $25-32/hr. (We value our employees’ time and believe your time should be compensated accordingly.
