Executive Assistant

DK Global, Inc. is looking for an energetic, detail-oriented Executive Assistant for our national visual media company. The Executive Assistant works directly for the CEO to support different department heads in daily tasks, as well as special projects. An ideal candidate for this position will work well under pressure, be highly organized, and have great instincts and intuition.  This candidate should exhibit high standards and will be able to efficiently transition between multiple tasks without letting things fall through the cracks. This position requires strong verbal and written communication skills, prioritization ability, excellent computer capabilities, and basic accounting experience. Individuals who thrive in learning new skills and effectively juggling multiple tasks are encouraged to apply.

Job Responsibilities:

  • Provides administrative support to CEO. Manages access to the executive, maintains and modifies executive's schedule. Ensures the executive is made aware of issues that need immediate attention.
  • Prepares correspondence for executive communications. Organizes and maintains files of executive's correspondence and records. Schedules appointments and makes arrangements for meetings, conferences, and travel.
  • Develops solutions to problems or issues in support of administrative processes and procedures. May be assigned projects that may involve providing some guidance or direction to team members.
  • Field phone calls and direct caller to appropriate contacts in the office. Record detailed messages if the desired individual is not available or direct them to another person that can assist them.
  • Record minutes, draft letters and memos.
  • Plan and organize events.
  • Proofing letters and documents
  • Run local errands to deposit checks, drop off shipments, pick up orders, etc.
  • General office duties: sending faxes, filing, greeting office visitors, etc.
  • Light accounting duties.

REQUIREMENTS:

  • 6 years in an administrative or executive assistant role.
  • Bachelor’s degree or equivalent preferred.
  • Strong attention to detail.
  • Exceptional verbal and written communication skills to effectively interact with all levels of management, staff, clients, and departments.
  • Ability to prioritize and multitask in a fast-paced environment with minimal supervision.
  • Ability to swiftly respond to multiple demanding situations and switch gears quickly.
  • Outstanding interpersonal and organizational skills, with a strong attention to detail.
  • Excellent computer skills, including proficiency with Microsoft Office, internet research, and accurate typing skills.
  • Adapts quickly to new technology.
  • Experience with QuickBooks, Word, Excel, and Outlook.

Job Type: Full-time

Salary:  $60,000 to $80,000 per year
